If you are a sole trader buying a vehicle for work, start keeping purchase, finance, running-cost and trip records from the beginning. The records needed for a tax claim depend on the vehicle and calculation method, so check your approach before relying on a deduction.
Start a vehicle folder at pickup
Keep the purchase invoice, registration and insurance documents together with your loan or lease agreement. Add a dated odometer photo and a note identifying the vehicle so you have a clear starting point.
The ATO’s vehicle-record guidance lists finance documents, fuel receipts, servicing receipts and registration information among relevant records. Save readable copies as costs arise, rather than trying to reconstruct a year of expenses later.
A practical folder structure is “purchase”, “finance”, “running costs” and “trips”. Use the transaction date in each filename so a receipt is easy to match to a statement.
Distinguish business trips from private use
A vehicle used for work may also carry groceries, family or weekend luggage. For a sole trader, the ATO explains that private-use expenses cannot be claimed as business expenses; the calculation method depends on the business structure and vehicle type.
If you use the logbook method, record each journey’s dates, starting and ending odometer readings, distance and reason. Ask your tax adviser about the full logbook requirements, including the recording period, rather than assuming a few trip notes are enough.
For an unclear journey, keep the facts and ask how it should be treated. Do not label every kilometre “business” simply because you bought the vehicle for work.
Keep finance paperwork separate from tax calculations
Store repayment schedules and statements as well as the original agreement. Keep the actual cash outgoings visible in your budget, and ask your tax adviser which amounts are deductible under your circumstances. A repayment schedule alone does not establish a tax deduction.
When discussing business vehicle finance with Aussie Loans, explain the intended business and private use accurately. Keep tax assumptions separate from the decision about whether repayments are manageable.
Make record keeping a weekly habit
Business.gov.au’s record-keeping guidance explains that sound records support cash-flow management and help show your financial position to lenders.
Set aside a short weekly check to file receipts, update trips and follow up missing documents. Before tax time, ask your adviser to confirm the calculation method and evidence required.
